Bidding Specialist

About the role

The Bidding Specialist will act as the central coordinator for Innovatrics’ bid and proposal activities. Working in a hybrid setting, you will gather information from multiple internal teams, secure commitments, and lead the preparation of competitive bid submissions, supporting the company’s expansion into prime contractor roles in markets such as Algeria and Guinea.

Key responsibilities

• Map the current bid landscape, identify pain points and audit recent bids to establish baseline metrics.
• Set up and maintain bid infrastructure, including shared folders, bid trackers, go/no‑go frameworks and compliance matrices.
• Coordinate with Sales, Operations, Legal, Finance, Security and Pre‑Sales to define roles, responsibilities and communication channels.
• Own the end‑to‑end RFP response lifecycle from receipt to submission, including qualification, content creation and template management.
• Build and maintain a reusable RFP response database, case‑study library, CVs and capability statements.
• Run the first major bid under the new structure, conduct post‑submission reviews and embed continuous improvement.
• Maintain a forward‑looking bid calendar, report pipeline, win/loss rates and resource utilisation to leadership.
• Develop business cases for additional headcount and lead the expansion of the bidding function as needed.

Required profile

• Proven experience in bid or proposal management within a professional services or technology environment.
• Strong cross‑functional coordination skills and ability to influence stakeholders across sales, legal, finance and delivery teams.
• Excellent organizational and analytical abilities to map processes, track metrics and drive continuous improvement.
• Comfortable working in a hybrid model and able to travel occasionally to client sites or internal meetings.
